Terms & Conditions of Booking

1. Fitness Level:
You are physically fit for the course you have chosen and are able to swim. As part of our booking process it is mandatory to fill in our booking form with any pertinent medical information, this will be kept fully confidential. For additional health declaration conditions please see section 11 below.

2. Payment and booking details:
For our half and full day trips, payment in full is required at the time of booking. For our overnight adventures we ask for a 40% deposit at the time of booking and the full amount to be paid a minimum of 14 days before departure. Upon booking we will issue via email our booking form, which must be completed and returned before departure. The information you provide in our booking form ensures that we can provide you with a safe and well managed experience that best suits your level.

Sea Kayaking gift vouchers are valid for one year from the date of purchase.

3. Cancellation on your part

a. more than 30 days of your course date will be eligible for a full refund
b. within 30 days-14days of your course date will result in the cost of 40% of the course fee per person.
c. within 14 days of your course date will result in the cost of 100% of the course fee per person.
d. it is recommend that you take out cancellation and curtailment insurance should you need to cancel your booking.

4. Cancellation on our part

Weather: 

We may have to cancel a course at short notice if weather conditions are considered unsafe. Our team will make this decision, which will be mate in relation to excess wind and/or thunderstorms if considered a safety concern. We do not cancel for rain or wet weather. In the event of cancellation by us for the above reasons you will be offered a choice of a full refund or an alternative date for the course. We will always endeavour to contact you within 48 hours of suspected cancelations.

From 2025:  a 30% non-refundable administration fee will be retained on all trips to cover our operational expenses, this will include days cancelled due to weather.

Other:

We reserve the right to cancel or curtail your trip for any reason should this be required. We hold the right to refuse service to any participant who is unfit to paddling due to illness or injury not stated or discussed prior to their trip on their medical form. We hold the right to refuse service to any participant who arrives intoxicated under any manor. We take a zero tolerance approach to abuse to staff or other guests and will curtail the excursion immediately should abuse be given whilst on or off the water.

5. Failure to Arrive On Departure Time

Prior to our excursion we will communicate with you the exact location and time of our departure. This is normally communicated the evening before our trip via email in order for us to best estimate the weather conditions and provide a trip suitable for your ambitions/needs. We have taken specific care to provide detailed notes on our usual departure points.

a. Kayak Summer Isles will not be held responsible for missed departures due to failure to locate our meeting points on time.
b. Many of our locations have limited phone signal. Our directions given are clear and navigable without the use of phone signal.
c. Kayak Summer Isles will not refund excursions where guests fail to arrive on time at the given location.

6. Instructor Insurance:
At Kayak Summer Isles we pride ourselves on professional operation and are insured by Activities Industry Mutual, all instructors are insured under our employers liability insurance. Kayak Summer Isles is also a member of the Scottish Canoe Association.

7. Participant Insurance:
Course participants are responsible for arranging their own insurance cover before engaging in any sporting activity to ensure that if meets their requirements. We strongly advise you to take out appropriate accident and cancellation insurance at the time of your booking

8. Cancellation throughout course:
If you are unable to carry on during a course and cancel or leave, for reasons of fitness, illness, minor injury or any other personal choice, this falls under our cancellation policy in sections 3.

9. Personal Responsibility: 
Participants must accept that within the outdoor environment there are inherent risks present which we are unable to control. By taking part in any outdoor activity you must accept a certain level of personal responsibility for your actions, and awareness of the environment & others around you. Our excursions are led by qualified guides and Kayak Summer Isles will not accept responsibility of any participant who willingly leaves/abandons the group/guide during the excursion.

10. Privacy and Data Protection:
The information submitted in this form is stored electronically and is not shared with anyone else outside of Kayak Summer Isles. It’s only used in relation to your sea kayaking experience with us in order to ensure your safety and comfort. During the booking process your email address is used to confirm your booking and give you information that you need about your sea kayaking experience. From time to time we may also send out newsletters to let you know what we’re up to as well as information on our trips, we will always ask if you are happy for us to do this upon booking. Any photos taken during our kayaking experience taken by our guide may be used for advertising purposes (website, social media, electronic newsletters). To withdraw consent for your photographs to be used, please let us know by using our email form. . If you receive our email newsletters, there is an unsubscribe option at the bottom of every mailing.

11. Health and Fitness

Weight & Height limits: At Kayak Summer Isles we pride ourselves in offering inclusivity to as wide a range of abilities as possible. In order to keep you, our guest, our instructors and the rest of our group safe we do have an operational weight limit for our trips, please enquire if this is a concern for you and we will do our best to accommodate to this. Should our weight limit be exceeded in your booking form we will be in contact and may ask additional questions in order to ensure we can provide the best possible option for you. We do not have a height limit for our kayaks. Please be honest with your height and weight on our booking forms as this is essential for us to provide the correct fitting equipment and kayaks for your day on the water with us.

Pregnancy: Our trips are possible for pregnant participants beyond their first trimester. Within the first trimester of pregnancy we are unable to offer any activities due to the increased risk at this stage. If you are pregnant we would ask this is stated to us as part of your booking information so we can best tailor our trip to suit you.

Physical Fitness Statement: We ask you to be as honest and open about your physical fitness and any impairments/constraints you may have that may affect your paddling ability. This is simply so we can pair you as best we can with other members of a similar ability in our group to make the best day for all of our participants.
